Temporary Events Assistant – start ASAP

An exciting new position has arisen at our Bath based offices. We are looking for a new member to join our busy team on a temporary basis. This role would be to start ASAP and work up until the  week after the Bath Half on March 17th 2019. This is an exciting, varied and key role within a small event management team, responsible for delivering one of the largest and most successful half marathons and charity fundraising events in the UK, the annual Bath Half Marathon.

Your role will be to provide effective and efficient support to our event management team, ensuring the smooth running of a busy event. You will also ensure smooth running of an office on a day-to-day basis and manage all administrative tasks.

Duties to include (but not restricted to):

  • Responding to enquiries from the general public & race charities by phone, email & letter
  • Entries & merchandise registration
  • Inputting data onto an on-line database
  • Event management. Briefing & supervision of entries registration & public enquiries team at the live event over the event weekend – 16 – 17th March
  • Officials & volunteers registration, merchandise sales, elite athletes hospitality, injured runners/lost children/lost property enquiries, equipment & branding distribution & recovery
  • Race Results. Resolving race results queries, checking timing and video records. Updating results records
  • Filing, photocopying, collating documents, preparing briefing packs
  • Stocktaking
  • Tea/coffee making. Office tidying/cleaning. Taking out recycling & office rubbish
  • Receiving & signing for postal & goods deliveries. Taking & collecting post to and from post office. Assistance with deliveries
  • Light manual work associated with set up and break down of the site event office
  • Other duties as required

Essential attributes include:

  • Advanced MS Office Suite applications (Outlook, Excel, Word, Internet Explorer Access, WordPress (useful)
  • Self-motivated, capable of managing your own portfolio of tasks
  • Strong customer service/interpersonal skills
  • Ability to cope with the pressures of delivering a major public event
  • Ability to take direction and work as part of a small team

Normal working hours:

Mon – Thurs 09:00 – 17:30

Fri – 09:00 – 17:00

You may be required to work longer hours in the week leading up to the Bath Half Marathon, if necessary some evening work will be required.

It is essential that you work on the event weekend Saturday 16th – 17th March 2019 (hours approx 06:30 – 18:00)
