Official Race Charity Event Weekend Briefing


Please find the following:

Race Weekend Briefing for charities attending – This is quite comprehensive but please do set aside some time to go through it all. There are a few changes this year that are outlined in the document, in particular the sustainability policy in the Runners Village.

General Charity Hall Table plan and key – This is for internal use only and not to send out to the public. Tables will not be numbered on the day so please do NOT use these numbers when communicating to your runners.

Individual Reserved Marquee map and key – This is for internal use only and not to send out to the public. Please note, marquee spacing is not to scale. Marquees will NOT be numbered on the day so please do not use these numbers when communicating to your runners. Please use the Zone references.

You may remember from your application that marquee sizes were TBC due to development works within the venue. You will see that we have had to downsize some of our marquees. For example, our previous Large 12 x 6m are now 9 x 6m and our previous medium 6 x 6m are now 4.5 x 6m. This is due to the space available on the Rec and an increased demand for marquees. We have tried to keep the decrease as minimal as is physically possible.

Things we need from you:

  1. If your charity is attending on race day, we need a nominated representative contact name and telephone number for race weekend (no later than Monday 2nd March). Please email details to [email protected] with ‘Race weekend contact’ as the subject line
  2. If you are intending to set up on Saturday you must let us know so we can allocate you a parking pass. Please email [email protected] (no later than Monday 2nd March). Someone will greet you on arrival and give you your pass.
  3. Please let us know if you have any celebrities running that are willing to do press interviews before or at the event.
  4. We can provide a limited number of start/finish photographer passes, which will allow access to the viewing compound on the pavement beside the start/finish. These are available on a ‘first-come-first-served’ basis and are limited to one pass per charity. If you wish to have one of these, please contact [email protected] no later than Monday 2nd March.
